What does each Polaris status mean?

The normal path is Draft → Submitted → Under Review → Voucher Created → Payment Processing → Payment Issued.

  • Draft: not submitted yet. Nothing is in line until you submit.
  • Submitted: it’s in the system and in line for review. Your review clock starts here.
  • Under Review: the checks are running: documents, quantities and delivery, and PO certification. Most of the waiting happens here, up to about 30 days.
  • Voucher Created: it passed review and a payment record exists. This is the moment you know you’re getting paid.
  • Payment Processing: the money is being prepared for release.
  • Payment Issued: the payment has been released by check or direct deposit. Issued means on the way: funds usually arrive in about 7 to 10 business days.

Statuses That Mean Act Now

  • Missing Required Documents: a document is missing or unreadable. Attach it and resubmit. If it’s a sign-in sheet the school has to upload, ask them right away.
  • Rejected: the invoice failed a check. Read the exact reason, fix that one thing and resubmit. See how to fix a rejected invoice.
  • Voucher Rejected: it got further, then failed. Check that the PO is certified and that the amounts match.
  • Adjustment applied: it cleared, but you were paid less than you billed, usually because an amount didn’t match the PO. Compare line by line, and raise it with your contact if it looks wrong.
